Position Summary
Under the supervision of the VP of Development with a dotted line reporting relationship to the Director of Finance, the Development & Finance Coordinator will provide administrative support for the Vice President of Development and others, and will also be responsible for developing and maintaining accurate and timely financial reports.
Essential Duties and Responsibilities
Development and Stewardship Activities (40%)
Refine the process for donor acknowledgments and implement a process aimed at donor retention and lift by management of weekly acknowledgment letters for organization-wide gifts.
Working with Sr. Managers of department, define and manage organization wide implementation of donor stewardship plans:
Prepare mailing lists as required and assist with special donor stewardship mailings such as newsletters, board reports, special in-house mailings and Impact Reports,
Coordinate and manage donor stewardship events throughout year
Prepare donor prospect research reports for development team and assist the department with implementation of a moves management program.
Make updates to records in database as needed and requested by development team.
Serve as a speaker to corporate, civic and religious groups to share the mission of the Food Bank and to deepen engagement at all levels. Provide facility tours for interested parties.
Provide support as needed for special events, special projects, food drives and special donor recruitment.
Perform other duties as assigned.
Financial Duties (30%)
Working with finance and development teams, maintain accurate accounting and tracking of restricted revenues and applicable grants.
Maintain annual revenue historical financial information, using Excel spreadsheets.
Generate regional annual revenue reports.
Prepare regional financial reports for branch directors, and assist branch directors with financial analysis.
Serve as backup for donor operations gift processing functions, including but not limited to: gift import, gift entry, honor cards, special letters, letter merging and folding. This position may have a daily role in gift processing functions during the holiday season.
Prepare invoices applicable to special events, i.e. sponsorship and individual invoices and tracking follow up and recording of revenue.
Create paperless office system to assist department in creating efficiencies.
Perform other duties as assigned.
General Administrative Duties (30%)
Perform administrative support for the Vice President of Development and the development department’s senior managers as well as Director of Finance as needed.
Perform administrative tasks such as: credit card approvals/expense claims, coding of receipts and invoices, making authorized credit card purchases on behalf of VP or department.; copying, faxing, scanning; ordering supplies, resources, scheduling/booking trainings; sourcing food, technology, or other resources for meetings.
Maintain calendar and time management for VP and senior managers, and make meeting arrangements: book appointments, reservations, travel, etc.

Support VP in work with committees, including:
Maintain committee rosters in database
Prepare and distribute materials
Reserve and set up meeting space
Prepare meeting minutes.
Actively engage in departmental meetings and provide suggestions and input when appropriate.
Perform other duties as assigned. Experience, Education, and Certification
High school diploma (BA/BS degree preferred), with at least 5 years of relevant experience, or an equivalent combination of education and experience. Previous experience in donor support and cultivation is highly preferred. The incumbent must have knowledge of basic accounting principles, with the ability to perform advanced Excel functions, including but not limited to pivot tables.


Other Knowledge, Skills, and Abilities Required:
A deep appreciation for, and an ability to articulate, the mission of the Food Bank.
Able to accurately type 40 words per minute.
Able to lift up to 35 pounds.
Experience with donor database.
Able to read, analyze and interpret general business materials, and the able to produce spreadsheets and accurate financial reports on a timely basis.
Excellent verbal, written, and organizational skills with a demonstrated ability to interact effectively with individuals at all levels in the organization.
Strong research skills.
Able to work with limited supervision
Good reasoning abilities; the ability to independently make decisions using sound judgment.
Ability to work well under pressure, meeting multiple and sometimes conflicting deadlines.

While performing the responsibilities of the job, the employee is required to work in an office setting; occasionally, the employee will be required to drive an automobile. Also, occasionally the employee will be required to give tours in the Food Bank warehouses. In doing so, the employee will occasionally be exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate.
